Privacy Policy

The short version
- We collect what's needed to run the apps, and nothing for advertising.
- We don't sell or rent personal information, and we don't use tracking or ad cookies.
- Guests can use Eat With Ease menus without giving their name.
- Ask us any time to see or delete your information: hello@livewithease.org.
1. What this covers
This policy explains how Live With Ease ("we", "us") handles personal information in Eat With Ease, Staff With Ease, Run With Ease and on livewithease.org.
For information a restaurant enters about its own team (for example HR records in Staff With Ease), the restaurant decides what goes in and why, and we handle it on the restaurant's behalf. Employees with questions about their records should ask their employer first. We'll help the employer answer.
2. What we collect
- Account details: name, email address or phone number, and password. Passwords are stored scrambled (hashed), never as plain text.
- Restaurant information: menus, dishes, ingredients, allergen information, inventory, procedures, guides, photos and settings.
- Team information that restaurants enter: team members' names, emails, phone numbers and roles. If a restaurant connects Toast, this also includes Toast employee IDs and time punches, which are used for break reports.
- HR records (Staff With Ease): write-ups, disciplinary and termination forms, new-hire paperwork, handbook signatures and the PDFs made from them. These can include sensitive information that the employer chooses to enter.
- Guest use of menus (Eat With Ease): which allergens were selected and when. This is stored with the restaurant, not with a name. If a guest chooses to join a restaurant's list, we also keep their name, phone or email and their consent choices.
- Billing: plan, status and trial dates. Stripe collects card details, and we never see or store full card numbers.
- Messages to us: feedback, help questions and emails you send.
- Technical information: a sign-in cookie that keeps you logged in, and standard server logs (IP address, browser type, pages requested) used to keep the services secure and working.
3. How we use it
- To run the apps: show menus to guests, store and share records, run workflows and send the notifications you've turned on.
- To handle billing and send account emails, such as receipts and password resets.
- To keep accounts secure and to fix problems.
- To understand use in totals (for example, how many menus were viewed) so we can improve the apps.
We don't sell or rent personal information, share it for advertising, or use it to build advertising profiles.
4. Who helps us run the services
We use a small number of service providers. Each sees only what it needs to do its job for us:
- Render hosts the apps and databases.
- Stripe processes payments.
- Resend delivers our emails.
- Twilio delivers text messages, only when a restaurant turns texts on.
- Anthropic provides the AI used by some features, such as reading a menu file. What's sent is the content needed for that task.
- Toast supplies data, only when a restaurant connects its Toast account.
- Google Fonts supplies the typefaces on some pages, so your browser contacts Google to load them.
We may also share information if the law requires it, to protect someone's safety, or as part of a sale or merger of the business, in which case this policy would still apply to it.
5. How long we keep it
We keep information while your account is open, or for as long as the restaurant keeps the related records. When you ask us to delete an account, we delete or anonymise its information within 30 days. The exceptions are records the law requires us to keep, such as billing records. Copies in backups are overwritten over time.
6. Security
Connections are encrypted (HTTPS), passwords are hashed, and access to HR records is limited to the people the restaurant allows. No system is perfectly secure. If a breach affects your information, we'll tell you as the law requires.
7. Your choices and rights
You can ask us to show, correct, download or delete your personal information. Email hello@livewithease.org from the address on your account. California residents have these rights under California law, and we'll never treat you differently for using them. You can unsubscribe from marketing messages at any time using the link or reply instructions in the message.
8. Children
Accounts are for adults running or working in restaurants. We don't knowingly collect personal information from children under 13. Guests of any age can view menus without an account.
9. Changes
If we change this policy in a way that matters, we'll email account owners or show a notice in the app first. The date at the top shows the latest version.
